Our client are seeking a highly organised and proactive Client Administration Executive to support the full client lifecycle within a fast-paced professional services environment.
This role acts as a central coordination point between fee earners, senior stakeholders, and internal departments, ensuring smooth processes from initial client onboarding and quoting through to project monitoring and billing. The successful candidate will be responsible for maintaining and updating client and contact records across internal systems, ensuring data accuracy and completeness at all times, managing client profile amendments, and monitoring contact status updates in a timely manner.
They will prepare, issue, and track client quotations in line with agreed fee arrangements, ensure appropriate follow-ups are completed, and draft key client documentation such as Letters of Engagement (LOEs) and Terms of Business (TOBs). The role also involves liaising closely with compliance and AML teams to support efficient onboarding processes, as well as setting up and managing projects within internal systems, including budgets, timelines, and revenue tracking, while monitoring progress and maintaining up-to-date project status information. In addition, the candidate will oversee time recording processes to ensure accuracy and completeness, follow up with fee earners regarding missing or incorrect time entries, and support the integrity of time data for billing and reporting purposes.
The ideal candidate will have a minimum of two years’ experience in an administrative role, with billing experience considered an advantage, excellent written and verbal communication skills in English, strong organisational and time management abilities, and a positive, team-oriented approach.
