An established international school is seeking to recruit a proactive and highly organised HR Coordinator to support the effective delivery of HR operations within a dynamic educational environment. This role is ideal for an individual who values collaboration and understands the importance of contributing beyond defined responsibilities to ensure overall organisational success. Reporting to the Head of HR, the HR Coordinator will play a central role in coordinating employee lifecycle processes, including onboarding and offboarding, HR administration, and compliance activities, while serving as a key point of contact for employees and managers on day-to-day HR matters. The position requires maintaining accurate and confidential employee records in line with GDPR and statutory requirements, preparing employment documentation such as contracts and correspondence, monitoring probation periods, and ensuring HR systems, trackers, and organisational records are consistently updated and maintained.
The successful candidate will also support recruitment processes through job posting, interview coordination, candidate communication, and onboarding preparation, as well as provide professional first-line support on routine HR queries, escalating more complex matters where necessary. Additional responsibilities include coordinating documentation related to work permits, visa applications, and local employment requirements, supporting compliance with employment legislation, safeguarding standards, and health and safety obligations, and contributing to annual administrative processes such as statutory submissions and sector-specific documentation. The role further involves assisting with payroll preparation, administering employee benefits such as health insurance, preparing HR reports, and contributing to ongoing HR projects, process improvements, and employee engagement initiatives, while ensuring all activities align with organisational values and promote a professional and supportive workplace culture.
Applicants should hold a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field, along with 2–3 years of experience in HR administration, recruitment, or employee lifecycle coordination. Familiarity with local employment practices and regulatory requirements will be considered an asset, and candidates must already be eligible to work within Malta and the European Union.
The ideal candidate will demonstrate strong organisational skills, excellent attention to detail, and the ability to manage multiple priorities effectively, alongside a solid understanding of HR practices and the ability to handle confidential information with discretion. Excellent written and spoken English is essential, as well as proficiency in Google Workspace and HR systems. A proactive, solution-oriented mindset and a commitment to maintaining high professional and ethical standards are key to success in this role.
