We are seeking a highly experienced, driven Executive Assistant to support a Chairman within a fast-paced, high-performance environment. Acting as the primary point of contact, you will expertly manage the Chairman’s business commitments while ensuring seamless alignment with personal priorities. Working closely with a Chief of Staff and wider support teams, you will provide both professional and private assistance, operating from a Sliema-based office with a hybrid working arrangement. This is a dynamic role offering long-term growth, increased responsibility, and exposure to high-level decision-making, requiring flexibility across time zones and occasional out-of-hours support to accommodate an international schedule.
Responsibilities include complex and ever-changing diary management across multiple time zones, ensuring effective prioritisation and meticulous planning. You will act as a gatekeeper, maintaining the Chairman’s schedule and representing them with professionalism at all times. The role involves managing a high volume of correspondence, drafting communications on the Chairman’s behalf, and coordinating closely with internal and external stakeholders, including senior leaders and high-net-worth individuals. You will organise detailed global travel itineraries (including visas and private travel), manage personal and corporate commitments such as memberships, charitable activities and social engagements, and process expenses accurately and efficiently. Building trusted relationships, maintaining discretion, and collaborating seamlessly with internal teams are essential, as is occasional travel when required.
The ideal candidate will have 8–10 years’ experience supporting a CEO, Founder, or similar senior figure, ideally within an investment, private equity, or family office environment. You will be highly proficient in MS Office and general IT systems, with exceptional organisational and communication skills. Personal attributes are critical: you must be reliable, discreet and trustworthy, with a proactive, solutions-focused mindset and the confidence to challenge when necessary. You will demonstrate strong judgement, foresight, and attention to detail, operating calmly under pressure in a fast-paced setting. A flexible, responsive approach is key, including availability for occasional weekend coordination and the ability to adapt to shifting priorities. A positive, outgoing personality and sense of humour will complement your ability to build strong relationships and integrate into a collaborative team environment.
This hybrid role requires at least three days per week in the Sliema office, with flexibility aligned to the Chairman’s schedule, particularly when they are in residence or travelling.
