A well-established architectural practice is seeking an organised, proactive and personable Office Administrator to become an important member of the team. This is a varied and rewarding role that combines general office administration with personal assistant support to the Director, making it ideal for someone who enjoys responsibility and takes pride in keeping an office running smoothly and efficiently.
The successful candidate will be the first point of contact for clients and visitors, welcoming them professionally, preparing refreshments when appropriate and ensuring they feel comfortable throughout their visit. The role will involve answering telephone calls, managing correspondence, maintaining filing systems, opening and organising client files, coordinating office calendars and assisting with document preparation. You will be responsible for ensuring reception areas, meeting rooms and office facilities remain organised, professional and presentable at all times. You will also help prepare the office each morning, manage stationery and office supplies and support the wider team with day-to-day administrative requirements. In addition, you will work closely with the Director, assisting with diary management, reminders, appointments and general organisational matters to help ensure schedules remain on track and important tasks do not fall through the cracks. We are looking for someone with initiative, common sense and a naturally organised approach to work.
The ideal candidate will proactively identify priorities, notice when action is required and look for productive ways to contribute during quieter periods. A friendly and approachable personality is essential, together with a professional attitude when interacting with both clients and colleagues. Candidates should ideally have at least two years of experience in a similar administrative role, strong organisational and communication skills, fluency in both English and Maltese and a good working knowledge of Microsoft Word, Excel and Outlook.
